Privacy Policy
Contributor portal, intellectual-property records and payment administration
Publisher: Vyrio Media Inc. (operating the Daily Clip Countdown brand) | Version: DCC-2026-10-19-v1.0 | Effective upon affirmative acceptance/publication as applicable.
1. Scope and accountable organization
This Privacy Policy explains how Vyrio Media Inc., operating the Daily Clip Countdown brand (“Company”, “we”), collects, uses, discloses, retains and safeguards personal information when people visit dailyclipcountdown.com and submit.dailyclipcountdown.com, create contributor accounts, upload original footage, establish rights, contest claims, receive royalties or contact us. It applies to Canadian and international visitors subject to any additional mandatory local law. It does not govern information independently collected by YouTube, TikTok, Meta/Instagram/Facebook or other third-party destinations, whose own policies apply. Privacy contact: contact@dailyclipcountdown.com; submissions: clips@dailyclipcountdown.com.
2. Categories of personal information
Depending on activity, we may process legal name, creator display name, validated email, contact details, age-over-18 affirmation, residence and country, passwordless authentication/session identifiers, activity timestamps, IP address, device/browser and security logs; original footage, images/audio including appearances and voices of identifiable people, recording dates/locations and EXIF metadata; file hashes, clip source URLs and upload history; chain-of-title, written releases and proof of ownership and contracts; rights complaints and correspondence; licence version, audit signatures and acceptance records; publisher decisions and royalty ledgers; and, for earnings, tax residency, legally required taxpayer identifiers, verification records, payout country/bank or payment processor token, statements, transactional records and sanctions-screening results. We should avoid requesting full government identity documents or complete bank details until legally necessary and use specialized payment/identity service providers when deployed. The final provider list must be published once chosen.
3. Purposes and lawful processing
We use information to operate accounts and secure authentication; receive and quarantine clips; detect spam, abuse and duplicates; assess rights, releases and copyright claims; make editorial decisions; exercise and document licences; publish credited clips where authorized; calculate/report/pay contingent royalties; verify identity, age threshold, taxes, fraud, sanctions and legal eligibility; defend or respond to copyright and privacy claims; monitor system integrity; meet statutory recordkeeping, accounting and disclosure duties; provide service-related notices; and, only with appropriate distinct consent or legal authority, send marketing information. We do not sell contributor identity or private verification files to advertisers.
4. Consent, withdrawal and statutory rights
We request meaningful, accessible consent for practices that require it and clearly identify collection that is necessary for a requested service or required by law. Contract/licence signature, earnings acknowledgment, privacy acknowledgment and optional promotional email consent are not bundled. Users may withdraw optional marketing consent without losing submission rights; withdrawal of consent for processing essential to an active royalty/rights account may limit our ability to operate that account, without retroactively terminating existing lawful licences or legally required records. We honour access, correction, objection, deletion or comparable rights where applicable, subject to authorized retention for legal claims, tax/accounting records, copyright evidence, anti-fraud and regulatory requirements.
5. Sharing and disclosure
We share only what is reasonably necessary with restricted Company reviewers; cloud hosting and object storage operators, database and infrastructure providers, email/authentication and security vendors, malware and content moderation processors, payment/tax/identity/sanctions screening providers, accountants and counsel, and video/social media distribution platforms where licensed footage is published. We may disclose to copyright claimants, courts, regulatory authorities or law enforcement when legally required or reasonably necessary to defend claims, with legal assessment. Public posts may include the submitted audiovisual content and an elected public creator credit; private legal name, payment details, raw releases and account identifiers are not normally made public. On a bona fide business sale we may transfer necessary account/rights records under suitable safeguards.
6. Infrastructure, processing location and cross-border transfers
Current infrastructure includes Railway-hosted application services, a PostgreSQL contributor database and a private S3-compatible clip-storage bucket provisioned in a United States infrastructure region; service providers and backups may process information in other jurisdictions, depending on their actual configurations and sub-processors. Other providers (such as email sender, authentication, identity and payment services) will be identified in published processor information when selected and activated. Information processed outside Canada can be accessible to foreign courts, regulators or law enforcement under lawful local processes. We use contractual, organizational and technical safeguards proportionate to the data and restrict service-provider processing to authorized purposes. We do not promise Canadian-only hosting.
7. Security
Security controls include HTTPS in transit, private storage by default, encrypted storage where available, least-privilege administrative access, role-based access to clips and rights evidence, secret management, authentication and session expiry, time-limited authenticated upload/download permissions, file extension and MIME validation, upload size limits, server-side integrity checks/SHA-256, malware scanning and quarantine before editorial access, duplicate and suspicious submission detection, tamper-evident signed consent-version audit records, backups where enabled, access logging, incident response, and vendor assessments. No electronic system is perfectly secure; contributors should not submit passwords, payment cards, unrelated sensitive records or unnecessary personal data embedded in footage or metadata.
8. Retention and deletion rules
We retain account and submission records only for reasonably documented purposes, using a schedule that distinguishes (a) rejected raw media, normally removed from active private storage within 90 days after a final rejection unless litigation hold or a specific legal/rights basis requires longer; (b) unselected and unpublished submissions, reviewed for deletion after 12 months of inactivity where no continuing licensing, dispute or documented operational requirement exists; (c) published licensed masters, licences, provenance, release and fingerprint evidence, retained while content/licence exploitation and necessary rights defence continue, followed by defensible archive periods; (d) payout, tax, statements and consent evidence, generally at least seven years from the last relevant accounting or rights event subject to applicable legal periods; (e) routine operational logs, generally 90 days unless a security investigation requires longer; and (f) records of every reportable or non-reportable PIPEDA security safeguards breach, for at least 24 months as legally required. These periods are retention policies to implement and periodically verify, not a representation that every retention automation is already operating. Backup deletion may lag within documented cycles and legal holds supersede routine deletion.
9. Rights requests and complaints
You may ask about information we hold, request access or corrections, withdraw optional consents, challenge accuracy of creator identity, request permitted erasure, or complain by emailing contact@dailyclipcountdown.com. We will authenticate requests proportionately and respond in the periods required by applicable law, explain any lawful refusal and provide available escalation to the Office of the Privacy Commissioner of Canada or another competent regulator. A request to erase account personal data does not automatically rescind a signed perpetual copyright licence or legally mandated accounting and copyright evidence; we will restrict remaining data where appropriate and explain the legal basis.
10. Cookies, analytics and automated tools
Essential cookies or comparable tokens may support authenticated sessions, fraud prevention and security. Optional measurement, personalization and marketing technologies should not be activated absent required consent and accurate disclosures. If analytics or anti-bot vendors are added, the cookie notice will describe their identities, categories, purposes and retention. Algorithmic duplicate matching, virus scanning and automated anti-fraud checks may assist review, but material content removal, ownership dispute and payment decisions are subject to human oversight and appeal. We do not represent that a particular third-party advertising technology is present without deployment verification.
11. Breach response and international rights
We investigate suspected unauthorized access and preserve necessary incident logs. Under PIPEDA where applicable, we notify the Office of the Privacy Commissioner of Canada and affected individuals as soon as feasible where a breach creates a real risk of significant harm; we keep records of all security-safeguard breaches for at least 24 months. Other jurisdictions may impose additional notice or individual-rights obligations; we comply where legally applicable. Cross-border contributors may have other mandatory rights not limited by this Policy.
12. Children and sensitive content
The contributor earnings portal is restricted to individuals aged 18 years or older. Footage depicting a minor may require appropriate parent/guardian, privacy, publicity, child-protection and other releases; depicting a child does not authorize a minor to contract or receive earnings through the adult portal. We do not knowingly solicit sensitive health, precise geolocation, government IDs or biometric identification data except where essential to specifically disclosed, lawful verification. We may reject footage containing highly sensitive or unsafe disclosures.
13. Marketing communications and external links
Transaction, account, submission-rights, royalties and legally mandated communications are distinct from promotional messaging. Promotional commercial electronic messages to Canadian recipients are sent in compliance with CASL, including valid consent where needed, sender identification and functioning unsubscribe; unsubscribing does not stop required contractual or security emails. Our external links to platform channels transfer you to third-party sites subject to their privacy terms.
14. Changes; contact
Material changes are dated and described, and we seek fresh affirmative consent where applicable law or a material shift in processing demands it; updates do not retroactively change signed copyright and compensation obligations. Primary contact and privacy officer communications: contact@dailyclipcountdown.com. Rights evidence and footage inquiries: clips@dailyclipcountdown.com.
